Coordinator Positions

UNIFORM FITTING COORDINATOR (Starts in April/May w/ uniform returns)

Organize volunteers to fit band students for uniforms approximately a week before band camp.  


BAND CHAPERONE COORDINATOR

Coordinate volunteers for football games and parades.  Chaperones ride on buses (travel events only) and sit in the bleachers with the band (free admission to the game). Assign duties to chaperones such as restroom supervision, distributing water, plumes and picking up trash in bleachers. Minimum time required to arrange for volunteers.


BAND PIT CREW COORDINATOR

Arrange volunteers to help load/unload the trailer for away games. Help to set up pit instruments, etc. for both home and away games. Minimum time required to arrange for volunteers.


STADIUM CLEAN UP COORDINATOR

Arrange volunteers to clean up the stadium after home football games. Gather supplies from concession stand (trash bags, gloves, sign up sheet, sanitizer). Be responsible for tracking volunteer  hours and submitting music credits.


HERSHEYPARK VOLUNTEER COORDINATOR

Coordinate the Hersheypark open shifts with the Hersheypark volunteers and track volunteered hours, all through email.  Time commitment varies throughout the year - there are more available shifts during times when college students are still in school (spring, early summer/late summer, Halloween and Christmas) but requires only about 10-15 minutes at a time.  


OUTDOOR CONCESSION STAND COORDINATORS (2-3 PEOPLE  TO SHADOW CURRENT COORDINATORS)

Organize volunteers for the games; Prep stand for the season; Place pickup and stock orders prior to home games; Close stand at end of the season; Be responsible for the money and tracking volunteer hours.  There are usually 5 home games per season, time commitment with 3 coordinators is approximately 1-1½ hours per week  for home games per person, depending on how you split the responsibilities.  At least 1 coordinator needs to be at each home game.


INDOOR CONCESSION STAND COORDINATOR (1-2 PEOPLE  TO SHADOW CURRENT COORDINATORS)

Organize volunteers for the games; Prep stand for the season; Place pickup and stock orders prior to home games; Close stand at end of the season; Be responsible for the money and tracking volunteer hours. The stand is open for home boys and girls basketball games and wrestling matches.  Time commitment during the winter season is approximately 1 hour a week in addition to games/matches.  1 coordinator needs to be at each game/match.  


VICE PRESIDENT IN CHARGE OF FUNDRAISING

Coordinate and run fundraisers.  There are typically 3 standard fundraisers each year: Rita’s discount cards, R&K Sub sale and Pellman’s cake/pies.  Additional fundraisers are usually held during trip years.  There are no set fundraisers so the fundraisers can be changed depending on what the Vice President wants to organize.  We currently have co-vice presidents that organize all of the fundraisers and organize volunteers for pick-ups but the vice president could also form and chair a fundraising group.  Time will vary based on the number and type of fundraisers.  


TREASURER

Balance monthly bank statements; Pay monthly state taxes; Pay invoices as needed; Write checks as needed; Create a treasurer’s report for the 5 meetings in the school year; Pay an individual to review the financial records once a year; Work closely with the directors and executive board.


PRESIDENT

Preside over 5 meetings per year; Create an agenda for executive and general meetings; Work closely with directors and executive board; Oversee all committees; Create, print, and frame certificates for top band, chorus, and orchestra students and present at the Senior Awards Night in May; Coordinate the dinner, after party, and carnations for Senior Band Night; Present carnations to the seniors on football field; Coordinate banquet in May with executive board.


WEB SPACE COORDINATOR

Work with Troy Portser (district employee) to develop a web space on EASD Website, communicate music club information (meetings dates, fundraisers, volunteer opportunities, etc.).  This position may also include updating other forms of social media (ie. Etown Music Club Facebook Page).


BAND CAMP COORDINATOR

Attend all Uniform Pre-Camp Fittings and Band Camp; Collect required paperwork and money for purchased items; Tabulate all money funds received and music credits used; Communicate with the EASD Music Club Treasurer and Uniform Coordinator; Coordinate the picnic for the final day of band camp (food items and volunteers); Be available via email or text to answer any Band Camp Questions
